RingBot collects information you provide directly to us, such as your name, email address, phone number, and business details when you sign up for our service. We also collect call recordings and transcripts as part of delivering the AI answering service.
How We Use Your Information
We use the information we collect to provide, maintain, and improve our services, process transactions, send service-related communications, and respond to your requests. Call data is used to provide call answering, recordings, summaries, messages and appointment requests for your account.
Data Sharing
We do not sell your personal information. We share data only with service providers who assist in operating our platform (such as telephony, email, and cloud infrastructure providers) and as required by law.
Analytics and Cookies
We use Google Analytics to understand how visitors use our website so we can improve it. Google Analytics uses cookies to collect information such as the pages you visit, how long you stay, and general device and location details. This information is processed by Google under its own privacy policy. You can opt out by installing the Google Analytics opt-out browser add-on.
Data Retention
Call recordings, transcripts and summaries are available for up to 30 days. Recording links expire and are refreshed after you sign in. Our scheduled cleanup removes expired call content while keeping account ownership, billing and operational records. Messages you ask the receptionist to capture and appointment requests are separate work records and are not removed by the call-recording retention schedule. Contact us to request deletion of your data; records needed for billing, security or legal obligations may be retained.
Call Recording and Notifications
The receptionist identifies itself as AI and announces that calls are recorded and transcribed. Recording cannot be paused during a call. Businesses using RingBot must ensure their use, disclosures and permissions are appropriate for their callers. Owner notifications use email and the dashboard inbox. SMS notifications are not included in this version.
